WMS vs ERP inventory: from stock balances to warehouse work

Knowing how much stock exists is different from knowing where an operator should pick it, how it should be checked and how handover is recorded.

01Stock records and physical work are different concerns

ERP inventory commonly supports purchasing, sales, production and finance, but coverage varies. WMS emphasizes how goods are received, stored, moved, picked and counted.

If the existing ERP already supports the required location and scanning processes, another system is not automatically necessary. Ask operators to complete real tasks and identify gaps in finding, checking and recording goods.

02Location and status both affect availability

A material may occupy several locations and may be reserved, quarantined or awaiting inspection. Distinguish on-hand, reserved and available stock instead of displaying only a total.

Twelve units on hand with six reserved is an illustrative example, not an operating benchmark. Whether the remainder is available still depends on status. Define which actions change each status in your project.

03Follow one outbound order across the systems

After an order creates warehouse work, verify material, batch, location and quantity and record execution. Partial fulfillment must retain the remaining quantity and correct document status.

Stock issue and shipping handover are different actions. Recording a carrier and tracking number should not deduct stock again, nor does it establish that live logistics tracking is integrated.

04Specify failure and duplicate handling

Decide where orders originate, which system executes warehouse work and who posts the stock result. Network retries must not count the same movement twice. Cancellations, returns and adjustments require defined rules.

Evaluate code mapping, timing, error messages and recovery. Completing the physical task is only half the test; downstream systems must receive and record the correct result.

05Assess value against warehouse complexity

More locations, batches, operators or document types can justify dedicated operational control. Compare this benefit with maintenance, equipment, training and integration costs.
